Give the tailgate a home base.
Plan a place to meet, a place to eat and a clear path between them.
Start with the space you actually have.
Sketch the parking or yard footprint before choosing the gear. Leave room for people to arrive, open bags and walk past the setup. Check the host or venue’s rules for furniture, canopies and games; an oversized piece needs more than a place to stand.
Put drinks where people can reach them.
A cooler at the edge of the gathering keeps every refill from becoming a trip through the food table. Keep a separate spot for water and an obvious place for empties. A tray or caddy near the cups saves everyone from opening the same bags repeatedly.
Give the group a recognizable meeting spot.
Choose a simple landmark everyone can describe: the flag, the long table or the big hat. Send the location before arrivals start, then keep one area clear for the latecomers and their gear. Plan the pack-up too, with a place for rubbish and a route back to the vehicles.
